Want your business email on your phone as well as your computer? Here's how to add a POP3 email account to the built-in mail app on most Android phones. The exact screens vary slightly by phone brand, but the settings themselves are the same everywhere.
Before you start
- Your full email address (e.g. you@yourbusiness.co.za)
- Your mailbox password
- Your mail server address — usually mail.yourdomain.co.za
A quick note on POP3: POP3 downloads mail to your phone and, depending on your settings, may remove it from the server. If you also check this mailbox on a computer, IMAP is usually the better choice since it keeps everything in sync. Use POP3 if your phone is the only place you'll ever read this mailbox.
Adding the account
- Open your phone's Email or Gmail app and go to Settings > Add account.
- Choose Other or Personal (POP3) from the list of account types.
- Enter your full email address and password, then choose Manual setup when offered.
Incoming server settings
- Username: your full email address
- Server: mail.yourdomain.co.za
- Port: 995
- Security type: SSL
Outgoing server settings
- Server: mail.yourdomain.co.za
- Port: 587
- Security type: StartTLS
- Make sure "Require sign-in" is switched on, using the same username and password
Once it's connected
Give it a minute to sync, then send yourself a test email from another address to confirm everything's working both ways. If mail arrives but you can't send, the outgoing server settings are almost always the culprit — go back and double-check the port and sign-in requirement.
